Who does it: Fleet Admin, Compliance Officer
Screen: Fleet > Renewals Calendar, Compliance > Document Tracker
Permission: vehicle:update, compliance:update
Renewal Tracking
| Document | Renewal Cycle | Lead Time | Alert |
|---|---|---|---|
| RTA Registration | Annual | 30 days before expiry | 60, 30, 14 days |
| Insurance Policy | Annual | 30 days before expiry | 60, 30, 14 days |
| Vehicle Fitness Certificate | Annual | 14 days before expiry | 30, 14, 7 days |
Renewal Steps
- System generates renewal alert at 60-day mark
- Fleet admin initiates renewal process
- Insurance renewal: negotiate policy, process payment
- Registration renewal: schedule RTA inspection, pay fees
- Upload renewed documents to system
- System updates expiry dates
- Compliance status updated to
Current
Status Change: Compliance: Renewal Due → In Progress → Current
Business Tip: Never let registration lapse. Driving an unregistered vehicle voids insurance and exposes the company to fines and legal action.
Phase 6 — Disposal / Retirement
What happens: A vehicle is removed from the fleet through sale, auction, trade-in, or scrapping.
Who does it: Fleet Manager, Finance Manager
Screen: Fleet > Vehicle Detail > Dispose

|---|---|
| Age | Over 5 years |
| Odometer | Over 200,000 km |
| Repair cost ratio | Repairs exceed 40% of residual value |
| Accident history | 3+ major accident repairs |
| Demand | Consistently low booking rate |
Disposal Process
- Fleet manager flags vehicle for disposal review
- Generate vehicle financial summary (total revenue, total costs)
- Obtain valuation (auction house, dealer, or online)
- Approve disposal method and price
- Process sale or auction
- Remove vehicle from fleet
- Generate accounting entries for disposal
- Archive vehicle record
Status Change: Available or Inactive → Disposed / Sold
| Disposal Method | Accounting Treatment |
|---|---|
| Dealer sale | Cash received, gain/loss on disposal |
| Auction | Cash received, gain/loss on disposal |
| Trade-in | New vehicle cost offset |
| Scrapping | Asset write-off, scrap value received |
Business Tip: Maintain a disposal history for audit purposes. Regulators and investors may request fleet aging reports and disposal rationale.
Vehicle Financial Summary
Each vehicle has a financial summary tracking its lifetime economics.
| Metric | Description |
|---|---|
| Total Revenue | Sum of all rental invoices |
| Total Costs | Maintenance, insurance, registration, repairs |
| Net Contribution | Revenue minus costs |
| Utilization Rate | Days rented ÷ days in fleet |
| Average Daily Revenue | Total revenue ÷ total days in fleet |
| Cost per km | Total costs ÷ total kilometers driven |
Business Tip: Review vehicle financial summaries quarterly. Vehicles with negative net contribution should be evaluated for disposal.
